VREDEFORT DOME TOURIST GUIDES ASSOCIATION
Minutes of Management Committee meeting held on 09 October 2013 at 17h00 in Parys.
1. Opening & welcome: The chairman welcomed the members present at our first Committee meeting and expressed the wish that the discussions will be to the point and that the decisions will be to the advantage of the Association.
2. Attendance & Apologies: Five committee members are present and an apology was received from Graeme Addison.
3. Membership Fees Structure:
– Full membership: After discussions and looking at membership fees of other comparable
associations, it was decided on an annual fee for full membership of R240.00.
– Honorary membership: The meeting decided, for the time being, not to determine a fee for
this category .
– Associate membership: After looking at all the scenario’s it was decided to sub-divide
this category with relevant fees as follows:
– Operators: R400.00
– Operators employees (Registered guides): R120.00
– Trainees: R100.00
4. Site specific training/orientation: This is not meant to be training for acquiring a qualification or registration. The purpose is to help newly qualified and registered tourist guides to gain experience of guiding in practice and become conversant with the Dome area and the product-and-land owners as well as the location of all the sites of special interest to tourists. Experts from outside as well as experienced tourist guides within the Dome can be approached to conduct this orientation. The Fezile Dabi District Municipality, Tourism Department will be approached for funding such a project.
5. Emblem/Logo: This matter will be attended to at the next Committee meeting.
6. Bank Account: The meeting decided to open a bank account for the business of the Association at Capitec Bank in Parys. The chairman, vice chairman and secretary/treasurer were given the task to arrange the opening of the account with the bank.
7. Website and advertising: After a lengthy discussion the meeting agreed upon the following:
7.1 The Association needs to own the Website and if in future, we have to pay for the hosting, we
can do so. Steps to achieve this to be discussed at the next meeting in order for Graeme to
give his inputs.
7.2 One member of the committee to be responsible to manage and update the
Website as approved by the management committee. Thanks to Graeme for being prepared
to do this for us.
7.3 The feeling of the meeting is that advertising on our Website must be handled very cautiously
and any advert must be approved by the management committee.
7.4 All requests for advertising must be formally submitted to the management committee for
evaluation and approval on merit.
8. General: – Frequency of meetings: Meetings of the Association will be conducted as follows:
– General meetings: Once per year
– Management Committee meetings: Once per month and to be reconsidered later.
9. Next Meeting: Wednesday 13 November 2013 at 17h00 at Real Adventures office in Parys
10. Closure: The chairman expressed a word of thanks and the meeting closed at 18h20
